Terms of Service

Agreement
These terms are an agreement between you (and the company you use SprayDocs for — your “firm”) and SprayDocs (“we,” “us”). By using SprayDocs, creating an account, or subscribing to a plan, you agree to them. If you are accepting on behalf of a firm, you confirm you have authority to do so. 1. What SprayDocs is
SprayDocs is software that helps pesticide applicators and their firms create, keep, sync, and export pesticide application records for any U.S. state or the District of Columbia. For Washington it fills the official WSDA form; for other states it produces a record laid out around the state’s rule, with the rule’s citations printed on it. It can be used without an account, in which case records are stored only on your own device.2. What SprayDocs is not
SprayDocs is a recordkeeping tool — not legal advice, and not a regulator. Your firm remains solely responsible for the accuracy and completeness of every record it creates, for complying with the pesticide laws that apply to it, for any use reports a state requires (SprayDocs does not file them), and for meeting statutory record-retention duties. Always verify requirements against the official rules of your state agency. SprayDocs is an independent product and is not affiliated with or endorsed by any state agency.3. Your account
You sign in with your email address and a code we send to it. Keep access to that email account secure; you are responsible for activity under your account. Tell us promptly at hello@spraydocs.com if you believe your account has been compromised.4. Firms, roles, and your records
Records belong to the firm they are created in. Every account has a firm, even a one-person one. The firm’s owner controls membership through invite codes and can review and amend crew records; amendments are preserved in each record’s history rather than overwriting it. Joining a firm with an invite code means the firm’s owner and authorized members can see the records you create in that firm. You can export the records your plan opens at any time — the PDF for each record and a backup file; the Pro and Lite plans open the whole archive.5. Acceptable use
Don’t misuse the service: no attempting to access other firms’ data, probing or disrupting our systems, reselling the service, using it for unlawful purposes, or knowingly entering false records. We may suspend accounts that put other customers’ data or the service at risk.
6. Plans and fees
Free. Filling out records for any state, the validation checks, and downloading, printing and sharing the PDF for records from the last 14 days are free. Older records remain stored in the firm’s archive and are not deleted; a paid plan opens them. Pro. $49 per month or $390 per year per firm, with unlimited applicators, the owner view, bulk export, annual worksheets, customer documents, and the full archive. Firms that subscribe at this founding price keep it for as long as their subscription continues without interruption. When a crew member first joins a firm on the free plan, the firm receives 14 days of Pro at no charge; if it does not subscribe, it returns to the free plan and nothing is deleted. Lite. $10 per month keeps the firm’s whole history open read-only, with export. It is offered when a Pro subscription is cancelled. Payments are processed by Stripe by card. Prices are in U.S. dollars; sales tax is added where it applies. Subscriptions renew automatically until cancelled; you can cancel, switch between monthly and annual billing, or update your card at any time from Settings. Cancelling stops future charges at the end of the paid period. We will announce any change to prices for new subscriptions clearly and in advance; no fee ever applies retroactively.7. Leaving SprayDocs
You can stop using SprayDocs and export your records at any time. When a paid plan ends, the firm returns to the free plan: its records remain stored and counted in the archive, the most recent 14 days stay open, and nothing is deleted. We keep a copy of every record for 7 years from the day it was created, on every plan. If you ask us to delete your account, we will confirm the request with the firm’s owner, offer a final export, and then delete the firm’s records and personal information from our systems. Statutory retention duties remain your firm’s — keep your exports somewhere safe.8. Availability and changes to the service
SprayDocs saves your work on your device as you type and, after its first visit, opens on that device without a connection, so losing coverage mid-record loses nothing — but signing in, syncing and the other online features need a connection, we do not promise their uninterrupted availability, and we may improve or change features over time. If we ever discontinue the service, we will provide reasonable notice and a window to export your records.9. Disclaimers
SprayDocs is provided “as is” and “as available,” without warranties of any kind, express or implied, including fitness for a particular purpose and non-infringement. We do not warrant that records produced with SprayDocs will satisfy any particular regulator or inspection — that depends on what your firm enters and on the rules that apply to it.
10. Limitation of liability
To the fullest extent permitted by law, SprayDocs will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenues, or data, arising from your use of the service. Our total liability for any claim relating to the service is limited to the greater of the amounts your firm paid us in the twelve months before the claim, or fifty US dollars. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.
11. Governing law
These terms are governed by the laws of the State of Washington, USA, without regard to conflict-of-law rules, and any dispute will be resolved in the state or federal courts located in Washington.
12. Changes to these terms
If we change these terms in a meaningful way, we will update the date above and, for significant changes, notify you in the app or by email. Continued use after a change means the updated terms apply.
