How SprayDocs works
SprayDocs fills out the official spray record on your phone, in English or Spanish, and checks it against your state’s rule before the PDF leaves your hands. This page covers the everyday questions; email us for anything else.
Three steps
- Pick your stateOpen spraydocs.com, choose the state whose rules the job falls under, and the form shows exactly that state’s inputs — nothing more. A link like spraydocs.com/wa opens Washington directly.
- Fill it out at the jobTap through firm, applicators, products, site and treatments. “Use GPS for Address” fills the address from where you stand; “Load Current Temp/Wind” pulls the nearest weather station’s reading. Anything missing is flagged before you finish.
- Get the PDFReview the finished record on the real form, then download, print or share it — to the office, the customer, or your own files. A free account (email plus a 6-digit code, no password) is what turns on the download and keeps a synced copy.
Put it on your home screen
SprayDocs is a web app, so there is nothing to download from an app store — but installing it on the home screen makes it open like an app and protects the records saved on the phone (iPhones clear a website’s saved data after a week without a visit; a home-screen app is exempt).
iPhone / iPad (Safari): tap the Share button (the square with an arrow), scroll to “Add to Home Screen”, tap Add.
Android (Chrome): tap the ⋮ menu, then “Add to Home screen” or “Install app”. SprayDocs also offers the install right after your first PDF.
Desktop (Chrome / Edge): click the install icon at the right end of the address bar.
The Settings screen in the app keeps these steps handy.
English and Spanish
Every screen, every field label and every check is in both languages — switch with the EN / ES toggle at the top, or open the Spanish app directly at spraydocs.com/es/. The PDF prints in English, because that is what the state forms and inspectors read; the record itself is the same either way.
In the field, with bad signal
Your draft is saved on the device as you type, so losing signal mid-record loses nothing — finish it and it will still be there. When you are signed in, records sync to your account the next time the phone is online. GPS works without signal; the weather lookup needs a connection and fails quietly into typing the values yourself.
Once SprayDocs has opened on a phone, it opens again with no signal at all — from the home screen or the browser. The form, the checks and the PDF run on the device; signing in, syncing and the weather lookup wait for a connection. A state guide you have read on the phone opens offline too; one you have not needs signal the first time.
What the free account includes
Filling out the record for any state, the checks, and the PDF — download, print and share — for records from the last 14 days. Your firm info and saved products are remembered. Records sync to your account, and every record you ever make is kept for 7 years; ones older than 14 days move to your archive, where you see the count. The Pro plan opens the archive and adds the crew.
Without an account, the record still fills out and checks itself, and you see the finished form faded — the download is what asks for the free account. Nothing you type before that leaves your browser.
How crews work
The owner opens Settings → Crew and shares an invite code or link. When a crew member joins, the firm gets 14 days of Pro free: every applicator’s records land in one account, and the owner view lists them all — filter by applicator, date, state or a search, open any record, correct it (the correction is kept in the record’s history). After the trial, the firm either upgrades to Pro or goes back to free; nothing is deleted either way.
“Share SprayDocs” is different from inviting: it sends a plain link, and the person becomes an independent free user with their own records.
Your data
The PDF is generated on your device. Without an account, records live only in your browser. With an account, they sync to SprayDocs servers in the United States, encrypted in transit and at rest, and every change is kept in an append-only history. The GPS and weather buttons send your location to OpenStreetMap and the National Weather Service when you tap them, and nothing else. We run no advertising trackers.
What your state requires
Each state guide lists the required elements, the completion deadline, how long to keep the record, who gets copies and whether anything is filed with the state — generated from the same configuration that fills out the record, with the rule citations to read yourself. SprayDocs is a recordkeeping tool, not legal advice; the state’s rule controls.
